The Hotel Ambasador accommodation unit undertakes to protect and respect the confidentiality of the personal data you entrust to us. This document contains important information about how we use the data collected. It describes how we collect, use, process and transmit the data you give us when you access and use our booking system. Those who access and use our booking system will be referred to as "users".
We invite users to carefully read this document called "Privacy Statement". The user expresses his will freely and voluntarily regarding the provision of his personal data or that of third parties to the Hotel Ambasador accommodation unit.
By the phrases "booking system", "booking engine", "system", "website", "platform", "application", "web application", "services", "online services", we refer to all online pages and the services we operate on the site https://hotel-ambasador.pynbooking.direct/, except in cases mentioned as such. By accessing the platform and providing us with your data, you agree to our Privacy Statement as described herein. The Statement may change from time to time, so we advise you to check accordingly to ensure you are up to date with the latest version.
Terms used
By the terms "we", "ours, ours, ours", we refer to the accommodation unit Hotel Ambasador.
Data Controller: the Hotel Ambasador accommodation unit operates the reservation system through a data processor, as explained below. According to the GDPR regulations, the accommodation unit is the data controller and the one that determines the purpose and means with which data processing is carried out.

PNYBOOKING operates the reservation system for the Hotel Ambasador accommodation unit and is committed to protecting the confidentiality of data provided by system users. PYNBOOKING is the data processor. PYNBOOKING is authorized by the Hotel Ambasador accommodation unit to process the data on its behalf.

PYNBOOKING is a hotel management tool used by those who own and/or manage accommodation units to allow users to make and manage online bookings. This document refers to PYNBOOKING's processing of personal data collected by accommodation units that use the PYNBOOKING reservation system.
1. What kind of personal data is requested from users
Accommodation units that use PYNBOOKING ca booking engine or management software collect and store the information users provide when making a reservation. They are asked for their name, address, telephone number and email address, financial details for payment execution when pre-paying, and the names of guests traveling with them. They may also include the IP address. This information is necessary, mandatory (unless otherwise specified in the dedicated fields) to operate the request made by the user and is stored in the PYNBOOKING system in order to process the reservation. If the user refuses to provide them, the request cannot be executed. Users may be contacted by those who manage the accommodation in connection with the booking. Their personal data is also stored after their stay, but will only be kept for as long as necessary in accordance with legal obligations.
2. Personal data processed directly by third parties
If users provide financial information (bank card data), it will be processed directly by providers that have PCI level 1 certifications (euplatesc.ro, paypal, autorize.net).
3. Personal data of third parties (reservations for companions, friends, family members, etc.)
In the event that the user provides the data to a third party, it is assumed that he has the consent of the third party and that he has given him the information in this Privacy Statement, the controller and the data processor being exempted from any responsibility in this regard. However, we can carry out additional checks, taking appropriate measures in accordance with the legislation in force.
4. The purpose of using personal data
Depending on the users' requests, the collected data will be processed for the following purposes:
– Administration of reservations made, including payment (when applicable) and management of requests and preferences expressed by the user
– Administering user enrollment in loyalty programs and obtaining membership status
– Contacting users for the purposes listed here
– Sending personalized commercial offers by electronic means if the user has given his consent
– Administration of additional services
– Carrying out surveys and evaluations regarding the quality of services offered
5. Duration of retention of personal data
The data is retained for the period of time necessary to fulfill the previously listed objectives, except in cases where it is needed for a longer period, and this is permitted by law, or except in cases where the user requests their deletion, withdrawing his consent . The criteria to determine the duration are:
– The period of time during which the user has a relationship with the data operator during which he provides services to him (for example, the period during which the user has an account in the reservation system or the period during which he uses its services or the period before the stay)
– Where there is a legal obligation (certain laws require the data controller to keep transaction data for a certain period of time before being allowed to delete it)
6. Use of users' social media accounts
In the event of registration or connection through a user account of a social network platform, we may collect and access various information from the user's profile on that social network for internal administrative purposes and/or the purposes previously indicated.
7. Security procedures
In accordance with the General Data Protection Regulation (GDPR), PYNBOOKING ensures the reasonable fulfillment of the necessary procedures to prevent unauthorized access and improper use of personal data. We use appropriate systems and procedures to protect and keep secure the information submitted to us. We also use technical and security procedures and physical restrictions to prevent access to and use of personal data on our servers. Only authorized personnel have access to personal data and only during the performance of their duties.
The data is processed in such a way as to ensure its security and combat the risk of being modified, lost, processed or accessed illegally, depending on the nature of the technology, the information stored and the risks to which it is exposed.
8. User control and rights over personal data
Users have the right to access the data stored by the accommodation units at which they made reservations via the PyNBOOKING system. In order to do this, the accommodation unit where they made the reservation through the PYNBOOKING system will be contacted.
Users have the right to request the deletion of the data provided at any time.
Users have the right to modify any incomplete or invalid data.
Users have the right to request the deletion of data when it is no longer necessary for the purposes for which it was collected and stored.
Users have the right to confirm the revocation of the consent.
Users have the right to obtain the limitation of data processing when the conditions regarding the regulation of personal data processing allow it.
Users have the right to request the portability of their data.
Users will also be informed that at any time they can submit a complaint regarding the protection of their personal data to the relevant authorities.
9. Reviews, ratings, feedback
Users may be asked to provide feedback on the quality of the accommodation services once the stay has ended in order to improve the services. The user's email address will be used for this purpose. If you complete a review, it may be published on the accommodation unit's website, Facebook, Twitter or Google Plus page. No details of the user's identity will be published. The storage of users' information may be necessary to fulfill the obligations that the accommodation unit has towards them.
10. Legitimate interest in processing user data
We may use user information for legitimate purposes, such as administrative, fraud detection, or legal purposes.
The processed data that we request to fulfill the purposes listed above cannot be used without the user's consent. Also, if the user withdraws his consent, this fact will not affect the legality of the previous processing of his data. To revoke the consent, the user must contact us through the aforementioned channels. Similarly, in those cases where it is necessary to process a user's data for the fulfillment of a legal obligation or for the execution of a contractual relationship between us and the user, the data processing will be legitimate as it is necessary to achieve the respective objectives.
11. Cookies
The term "cookie" defines a small amount of information placed in the web browser on the computer or mobile device that users use. Cookies are used to facilitate the booking process and contain information such as the search dates and the language in which the booking is made. There is a difference between temporary and long-lasting cookies. The temporary ones will only exist until the web browser is closed. The permanent ones are used for a longer time and are not deleted automatically when the browser is closed. We use persistent cookies in Google Analytica to analyze traffic and visitor behavior. By using the PYNBOOKING website or making reservations through PYNBOOKING, you consent to the use of cookies as described above.
12. Use of the Services by minors
The Services are not directed to individuals under the age of 18, and we do not ask them to provide personal data.
13. Disclosure of personal data
Personal data will be used and disclosed in the following cases:
– To comply with applicable laws, including the laws of the user's country of residence
– To respond to a request in the event of a legal process
– To respond to requests from government authorities, including authorities outside the user's country of residence, and to meet national security requirements
– To enforce the terms and conditions
– To protect the rights, privacy, security of our data, of users and third parties
We may use and disclose Other Data for any purpose, except where current law does not permit. In certain cases, we may combine Other Data with personal data (for example, user name with location). If we do so, we will consider and treat the data resulting from this combination as personal data for as long as the combination process is being carried out.
14. User Obligations
The user guarantees that he is legally responsible, in full mental faculties and that the information provided is real, valid, complete and current. The user is solely responsible for the veracity of the communicated data and undertakes to update the information when necessary.
The user undertakes to inform the third parties whose personal data he provides when appropriate about the information in this document. It also undertakes to obtain the approval of third parties regarding the provision of personal data for the purposes outlined above.
The user is responsible for false or invalid information provided through the website and for any direct or indirect damages caused to us or third parties.

No fee is charged if the reservation is cancelled 3 days before arrival.
Any reservation can be canceled 14 days before the check-in date without penalties, the day on which the counter value of 30% will be collected from the total value of the reservation, for its insurance. If this cannot be done, the reservation will be cancelled. In case of no-show, the customer loses the insurance paid. At check-in, the difference between the total price of the reservation and the paid insurance will be paid.

The price for the entire accommodation will be charged after making the reservation to secure the reservation. If this is not possible, the booking will be cancelled. Please note that no refunds will be paid in the event of a change, cancellation or no-show.

Booking Cancellation Policy in the Case of Pricing Errors
At Hotel Ambasador, we strive to offer fair and transparent rates for all bookings. However, in rare cases, technical or systemic errors may occur which may result in room rates being displayed incorrectly. In such situations, we reserve the right to cancel reservations made at obviously erroneous rates.
1. Definition of Tariff Error: A Tariff Error is considered to be a significant and obvious discrepancy between the displayed tariff and the correct room tariff, resulting from a technical error, human error or system problem.
2. Right to Cancellation: If a tariff error is found, Hotel Ambasador reserves the right to cancel any reservation made at the incorrect tariff. Customers will be informed as soon as possible of the cancellation and reasonable alternatives will be offered.
3. Cancellation Procedure: Affected customers will be notified immediately of the tariff error and cancellation of the reservation. We will offer, as far as possible, alternative accommodation at a correctly adjusted rate; We will provide apologies and clear explanations to affected customers, ensuring they understand the situation.
4. Contact and Support: For any questions or clarifications regarding our cancellation policy in case of tariff error, please contact our support team at hotel@ambasadormamaia.ro. By making a reservation at Hotel Ambasador, customers accept and agree to this cancellation policy in case of tariff errors.

You can make any complaints in writing and submit them at the reception of our hotel or you can send them by email to the address: hotel@ambasadormamaia.ro
Payment for services can be made by:

– through the euplatesc.ro system for reservations made through www.ambasadormamaia.ro;
